Presenter's FAQs
Important information for presenters
First of all, many thanks for offering a presentation or workshop to the L@S programme.
Most of the basic information you will need is available in this list.
General presentation matters
We would like all presenters to:
- Use the Conference opening slide in your presentation. You can download a copy here:
- Check that delegates have the appropriate software on their laptops by emailing all delegates enrolled in your workshop/presentation (please don't email them too early, and some downloads will expire before the conference begins) http://community.core-ed.org/
- Upload your workshop resources to http://community.core-ed.org/
- Check your room before you present. Arriving early will enable you to welcome participants as they arrive for your workshop
- Check that your own computer is not locked down, and can access a hotspot such as a Telecom hotspot, CafeNet or other wireless accesspoint. If in doubt bring your administrator password.
Presenters' information at registration
We provide a presenters' information pack at registration. Please ask for this when you register.
Coming in for your session only (not attending the full conference)
If you are only presenting for one session and have not officially registered, you must first contact Sherry Chrisp sherry.chrisp@core-ed.org with your name and workshop name. When you arrive to do your presentation at the conference, you will need to report to Gwenny Davis at registration in the Claudelands Events Centre. She will give you a day badge, which will avoid you being stopped by security. This badge will need to be handed in either at lunchtime or after the last session of the day.

Plan for every eventuality
When preparing your presentation please make sure you have thought about the following senarios: What happens if...
- a bulb blows in your data projector
- the internet fails
- the power fails?
We suggest you cover all the above senarios by having...
PLAN A (smooth run—everything working)
PLAN B (no visuals or internet)
PLAN C (power goes down)
Workshop interactivity
Please think carefully before asking your session attendees to sit and listen for 90 minutes. Think about ways you can involve the audience in your session. Find out what the audience wants to get from your session before you start, and add their requests into the mix. Use the combined intellect and experience of the audience by facilitating group work around your topic. Finally, make sure you have answered everyone's questions before you finish. If you haven't, make connections with them to continue the discussion. Most of all, have a good time yourself...
Timing of your presentation
Workshops and presentations in the general programme will be 80 minutes. We suggest you organise your time so that you have 70 minutes for the body of your workshop, 10 minutes questions/discussion.
Taster session timing
Taster sessions run for 30minutes with a 15 minutes turn around between each session. The are two sessions in each of breakouts 1, 2, the earlybird and BO3 and 4.
Be aware of delegates who are not computer savvy
You don't want to lose valuable time assisting delegates who don't have the required software on his or her machine. Some delegates will come with the requested software on their computers, but will not know how to set it up. Some will not know how to download. To assist you, we have a software configuration help desk available for your delegates to check that everything is running correctly prior to your session. This help desk is set up next to the initial registration area (the arena end of Claudlands).
Please email delegates registered for your session and make sure they are prepared.
Contacting the delegates registered for your session
The following facilities are available for presenters at http://community.core-ed.org/ (log in required) under "My presentations"
- List of all delegates and their email addresses attending your workshop
- Ability to email all enrolled delegates in the list with one click
Handout materials
Photocopying and handouts
Please bring your support material with you both in hard copy and digital format. That is, print copies off on your school printer before coming to the conference. Although a photocopier through HP is available, it is only for limited use.
Print off enough handouts for the maximum number allocated to your room.
We would prefer to make your presentations and handouts available online post-conference.
Uploading your workshop material
We have provided a space online for uploading handouts (PDF, Word, Powerpoint etc). This facility is also available in the community space at http://community.core-ed.org/
If you are not sure where to go to upload your files, then go to HELP on the menu bar of the L@S webpage http://www.core-ed.org/learningatschool/help. Please have your username and password ready. If you still have trouble, then hand in your files on a disk to the Tech support desk with your name and breakout round clearly labelled on the disk, and they will upload them for you.
Rooms
Finding your room
A map will be available on the back of the conference handbook. We are only using two venues, The Claudelands Event Centre, which includes the Holman and Grandstand and Southwell School Rooms, which are numbered.
Room setup
Session rooms are equipped with the following:
- LCD (data) projector
- screen
- whiteboard and whiteboard pens
- ;network cable for connecting to Internet (except the Grandstand where you can connect usng a T-stick or similar)
- lapel microphones (in large rooms)
- presenter's table
- speakers
Rooms set up as BYO laptop suites
Most rooms used at L@S will have access to the internet. Please remember that asking delegates to download programmes during your session may cause the network to slow down. Presenters can email delegates prior to their sessions with any software needs.
The Grandstand has no internet access, but access can be arranged for some presenters by using a t-stick or Vodem
Runners and minders
There will be an adult room support person allocated to each room. If you have any difficulties at the venues these people will endeavour to help with any problems.

Room opening times
Rooms will be open about 30-45min before breakout times.
For exceptional circumstances, rooms may be opened earlier than 30 minutes before the breakout session. If you want access out of the regular times, you will need to contact Sherry Chrisp sherry.chrisp@core-ed.org, or on 021 906 637 to arrange this.
Setting up for your workshop/presentations
Adult helpers will be available 30 minutes prior to your presentation. Each room support person is covering 2-3 rooms each. They have access to technicians. They won't be far away if you need them.
Please use the morning and afternoon tea and lunchtime sessions to set up your rooms. Taster session presenters can either set up before the session begins or in the 15 minute turn around between Tasters.
Equipment and special room setup requests
If you need special room or seating setup for your presentation, please check the room you are presenting in the day before you are presenting, if possible, to make sure everything you have requested is in the room. Ask the room support person to contact the Tech support team if you are concerned.
Technical support, computer configuration, and internet access
Technical support
As well as a room support person and a techie in each of the venues, we have a support desk right close to the registration desk in the Claudelands Event Centre. If you want your computer configured, go to the Technical support desk next to registration or find the Techie in your venue.
It is important that you have administration rights (user name and password) for your computer to allow the L@S12 technical support team to assist you should you need it.
Configuring laptops for the internet (very important!)
Wireless internet will be available to delegates at L@S12. Please ensure your laptop is able to connect to an 'open wireless network' (DHCP with no passwords). To check your computer can do this, try connecting it to: a Telecom Hotspot, CafeNet, or other wireless accesspoint. If you can, you should be able to use the conference network!
Each venue will have a password which will be written on the whiteboard in your rooms.
Wireless access for presenters and delegates in your sessions
All presenters need to use the available hard wire rather than the wireless network to access the internet for their presentations. By doing this, your access will be more stable, and it will be faster than the wireless network.
Please note that if you require your delegates to work with the internet, they will have a much slower speed than you. Downloading large files or downloading simultaneously will not work. Therefore, please plan!
A wired internet connection will be available for presenters in all rooms except the Grandstand. If you are presenting in the Grandstand, you will have no internet access unless you use a T-Stick or Modem available from the Equipment Room.
